Portland Buy Local minutes – April 11th, 2012 – 8:30am

March minutes were approved.

PayPal update: PayPal service will end this summer. Bill D will supervise takeover by PowerPay within the next two months.

Question about selling T Shirts again was raised, but it depends on the timing of T Shirt production. (More about T Shirts in the marketing update.)

FY13 budget: Committees need to propose their budgets for the coming year in May. (Bill gave an fyi that there is less than 1000 in the advertising budget for the remainder of the year.) Fiscal year ends at the end of June.

Jan gave an update on the Street Vendor Task Force. Gave some background info for those new to the topic, and reported that there has only been one meeting, so not much has actually been accomplished. They are still looking for more volunteers for the task force. Buy Local feels divided on the topic; not sure what our stance is. Jan will continue to send the board updates from the Task Force. Bill D. will attend the next Task Force meeting to get a better sense of the issue.

Casco Bay Sunrise Rotary club has requested a Buy Local speaker for a Thursday morning meeting this Spring/Summer. Kristen Smith volunteered, and Emily will accompany in order to learn a basic presentation for future needs.

Kristen reported on the 2012 membership drive – it’s now complete. 351 businesses will be listed in the directory. We need to do a little work on the website to make it easier for renewals for next year. The directory draft will come out in about two weeks and the membership committee will proof it. Final copy will be complete at the end of May.

We talked about getting the old directories out before the new ones arrive. Emily and Brianna gave updates on delivering. DWAD will need 600+; that’s good. Ed King from the West End News will do some deliveries of the new one, as will other volunteers.

Chris gave an update on the marketing committee. There is lots of interest in selling a Buy Local T shirt again. Bill suggested the basic black shirt, short sleeve, and then print a long sleeve in the fall. Nancy brought up potential manufacturers – American Apparel and Bayside and discussed pros and cons of each. Nancy will oversee this project but will not be doing bags this year; she doesn’t have the time.

Regarding payment for shirts – we will have to accept pre-orders in May.

Susan and Nancy talked about Independents Week, which will be the last week of June this year. It’s a national event and our Buy Local organization holds a celebration in conjunction with the Wednesday farmers’ market in Monument Square. During “Know your Farmer Day,” farmers wear nametags we supply, and there will be cake, the new directories, and T Shirt sales. It also marks the official anniversary of Portland Buy Local. Nancy proposed that Emily would take on the planning of the event.

Emily – Downtown Worker Appreciation day is approaching (April 26th) – the planning is going smoothly and keep an eye out for an e-mail asking you to volunteer.

Danielle and Mary spoke about the Michael Shuman event coming up at SPACE Gallery on May 3rd. It’s all shaping up. Jan said PDD is offering free parking at the Spring Street garage for the event.

The board spent the final twenty minutes in executive session to discuss recruitment. All seven board candidates (Melissa Rivera, Michelle Robinson, Will Cary, Michelle Smith, Doug Johnson, Allen Baldwin, and Doug Fuss) were unanimously approved for board terms. Each new board member’s official anniversary date will be August 2012. Due to the anticipated number of current board members who will term-out this August, the newly elected members have been brought on board four months early to gain institutional knowledge and insight, and will be full, voting members of the board from this date (4/11/12) forward.
