Buy Local Board Meeting – after the Annual Meeting on February 8th, 2012, 9:00am
In attendance: Bill, Emily, Stacy, Stuart, Chris, Kristen, Jan, Susan, Brianna, Joan, Nancy, Joe, John, Danielle
Kristen and Joe proposed changes in membership prices. Most rates would remain unchanged, but sustaining membership rates would decrease in the hopes of attracting more sustaining members. When prices increased last year, significantly fewer businesses renewed at the sustaining level. Regular business dues would stay the same.
Emily will be researching other Buy Locals around the country to compare our sustaining and regular rates in the hopes that we can come up with a final/permanent rate chart for next year.
Nancy brought up the issue of businesses that contribute a lot to the organization (time, services, product). Sometimes these donations are considered “payment” of membership dues. There needs to be an accounting criteria for donations. It would be useful to track all donations and do Thanks Yous at the end of the year. Susan added that it will be important for next year’s board to understand the extent of the donations we receive.
Kristen suggested we highlight Portmanteau in next newsletter to recognize the contributions they’ve donated to the organization. She apologized that Portmanteau was not made a sustaining member in exchange for the donations, as she had thought.
Motion to approve New Membership dues: all in favor, none opposed.
Other membership updates:
Invoices are to be printed today and will be mailed out Friday. Goal is to switch our online payment system to PowerPay soon. Board recommended waiting until the Summer, after the membership campaign is over and after the fiscal year ends.
Chris brought up advertising in the “Portland Presents” book handed out at shows (Merrill, Portland Stage, etc.). Good audience for an ad, but expensive ($2700 for 1/2 pg color). Bill reported that we do have enough in the budget to cover it. Copy needed this time next week if we are going to do it.
Motion to approve purchase of ad in “Portland Presents”: one opposed, the rest in favor.
Chris will send ad copy to the board. Stuart recommended a simple message about community and choice. Susan felt we should stick with organizational branding and use the Buy Local Blue.
Posters – people can buy the Buy Local poster at Pinecone and Chickadee. Another plan is that Buy Local will provide them as incentive for individuals who become sustaining members.
Emily will be asking membership committee to provide input on updating the New Member and New Individual Member Welcome Packets.
Kristen reminded the board that we need to focus on getting new board members to commit for next year. Some suggestions about potential board members were made.
